This type of message will help callers know how to reach or connect with a department or with someone in your organization. This message might sound something like the example below:
Thank you for calling Acme Enterprises. If you know your party’s extension, you may dial it at any time.
"Please listen carefully to the following options.
To reach our sales department, press 1.
To reach our billing department, press 2.
To speak to a customer service representative, press 3.
To hear a dial by name directory, press 0.
To leave a voicemail message for our New York office, press 4.
Thanks again for calling Acme Enterprises and have a great day!"
To record this greeting on your phone system, follow the directions below:
- On any desk phone, dial TMPREC (867732).
- Enter the recording number. This will be 73201 (REC01). For additional recordings, such as for different a different language option, or for something that needs to be recorded separately, you can use the sequentially such as 73202 (REC02) or 73203 (REC03) and so on.
- Follow the prompts to listen to the recordings and to re-record messages.
- Be sure to notify us at email@example.com when the recordings are complete and ready to be implemented.
We will notify you when the files you have recorded are in place and ready in your phone system.
